Administrative Assistant

Role Summary

We are seeking a highly motivated and detail-oriented Administrative Assistant to join our team. This person will play a critical role of being the first impression of our firm. The Administrative Assistant works closely with client services and financial advisory teams to provide administrative and operational support, ensuring we maintain the highest level of client service.

Responsibilities

  • Assist clients and prospects via phone, email, and in-person
  • Schedule client meetings and coordinate with advisory team
  • Assist with client onboarding, including reviewing and scanning internal documents
  • Maintain accurate client records in our CRM and related platforms
  • Manage other office needs such as running errands, ordering supplies and stocking refreshments
  • Complete additional administrative tasks as needed

Qualifications

  • A minimum of 3 years of administrative experience in a professional office setting
  • Excellent organizational and multitasking skills in a fast-paced environment
  • Ability to learn and understand new software and technology relatively quickly
  • Strong communications skills (both written and oral)
  • Strong work ethic and commitment to the highest standards of excellence
  • Strong sense of accountability and ownership of work
  • High level of professionalism, discretion and attention to detail
