Operations Associate / Coordinator
Position Overview
We are hiring for an Operations Associate or Operations Coordinator, depending on background and experience. This position works directly with the VP of Operations to support firm operational efficiency, compliance, and technology. The ideal candidate is detail-oriented, proactive, and a problem solver.
Key Responsibilities
Responsibilities will vary based on experience and seniority in the role:
Operations & Compliance
- Assist with client onboarding and billing/invoicing
- Maintain CRM systems and operational workflows to improve efficiency
- Ensure compliance with industry regulations by managing documentation and auditing records
Technology & Vendor Management
- Manage various technology platforms (e.g., CRM, phone system, online scheduler)
- Coordinate with IT vendors to ensure smooth technology operations
- Assist in evaluating new tools to enhance operational efficiency
Client Services Support
- Assist advisors with operational needs to enhance client service
- Support document management, reporting, and internal process improvements
- Help streamline and document operational procedures for efficiency
- Back up our front-office with client service support
Qualifications & Skills
Operations Associate Role (1 to 3 Years Experience):
- Bachelor’s degree in business, finance, or a related field preferred.
- Strong attention to detail and ability to manage multiple tasks effectively
- Fast learner with new systems
- Excellent written and verbal communication skills
- Ability to work in a fast-paced environment
- Handles confidential and highly sensitive information with ultimate discretion
Operations Coordinator Role ( 4+ Years Experience):
- Prior experience in financial services, operations, or compliance strongly preferred.
- Ability to manage workflows, process improvements, and technology systems.
- Knowledge of regulatory requirements in financial services.
- Strong problem-solving skills and ability to take initiative.
