Operations & Technology Specialist

Position Overview

We are seeking a detail-oriented and systems-minded Operations & Technology Specialist to support and improve the internal operations of our firm. This role is responsible for maintaining and enhancing our operational infrastructure, including workflows, billing processes, and technology systems. The ideal candidate is highly organized, proactive, and enjoys improving how things work behind the scenes.

Key Responsibilities

Operations & Process Management

  • Maintain and update internal workflow templates to ensure consistency and efficiency across the firm
  • Document and refine standard operating procedures (SOPs)
  • Identify opportunities to improve processes and streamline internal operations

Billing & Financial Operations

  • Prepare and process quarterly billing cycles
  • Submit advisory fees to custodians and ensure accuracy of billing data
  • Assist with account adjustments, including fee corrections and refunds
  • Generate and send invoices for financial planning clients

Technology & Systems Administration

  • Serve as an administrator for key systems (CRM, scheduling tools, phone system, etc.)
  • Manage user access, onboarding, and offboarding for employees
  • Maintain system data integrity and support ongoing system organization

Technology Integrations & AI Implementation

  • Assist in evaluating and implementing new technology tools to improve efficiency
  • Support integration between systems to streamline workflows
  • Explore and test AI tools to enhance internal operations and team productivity
  • Help identify opportunities to leverage automation across the firm

Vendor Coordination

  • Coordinate with technology vendors and service providers to resolve issues
  • Track and manage vendor requests and ongoing needs
  • Assist in evaluating new tools and platforms as needed

Qualifications

  • 2-5 years of experience of technology in operations, business support, or financial services preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and follow through consistently
  • Comfortable learning and working within multiple technology platforms
  • Experience working on MacBook (macOS) platforms required
  • Process-oriented mindset with a desire to improve efficiency
  • Strong written and verbal communication skills
  • High level of accountability and ownership

This is a full-time position, Monday through Friday, 9am – 5pm.
