Operations & Technology Specialist

Position Overview

We are seeking a detail-oriented and systems-minded Operations & Technology Specialist to support and improve the operational efficiency of our firm. This role is responsible for maintaining and enhancing operational workflows, systems, and processes that support our team and client experience. The ideal candidate is a quick learner who enjoys solving problems, improving systems, and helping the firm operate more efficiently as it grows.

Key Responsibilities

Operations & Process Management

  • Maintain and update internal workflow templates to ensure consistency and efficiency across the firm
  • Document and refine standard operating procedures (SOPs)
  • Support ongoing operational projects and firm initiatives
  • Identify opportunities to improve processes and streamline internal operations

Systems Administration

  • Serve as an administrator for key technology systems
  • Manage user access, onboarding, and offboarding for employees
  • Maintain system data integrity and support ongoing system organization
  • Serve as a point of contact for employee questions and troubleshooting

Integrations & AI Implementation

  • Assist with evaluating and implementing new technology tools to improve efficiency
  • Support integration between systems to streamline processes
  • Research, test and implement AI tools that improve internal operations and team productivity
  • Build and maintain automations to reduce manual processes and improve consistency

Vendor Coordination

  • Coordinate with technology vendors and service providers to resolve issues
  • Track and manage vendor requests and ongoing needs
  • Explore and evaluate new tools and platforms as needed

Qualifications

  • 2-5 years of experience with technology in operations, business support, or financial services preferred
  • Experience working with macOS is required
  • Google Workspace experience is strongly preferred
  • Experience with workflow automation tools (Zapier, APIs, etc.) or a strong interest in learning automation and AI technologies
  • Must be comfortable learning and managing multiple technology platforms
  • Strong organizational skills and attention to detail
  • Ability to manage multiple projects and follow through consistently
  • Process-oriented mindset with a desire to improve efficiency
  • Strong written and verbal communication skills
  • High level of accountability and ownership

This is a full-time position with the potential for a hybrid work arrangement. Standard hours are Monday through Friday, 9am to 5pm.
